BUDGET CREATION & MANAGEMENT
We assess your full budget alongside your preferences and create the broken down categories/vendors
After creating the suggested allotments for each category, we work with vetted vendors that fit within the respective budget
We create a full budget breakdown, in a shared document, for you to keep and refer to throughout the planning process
As vendors are booked we keep track of your payment schedule and send reminders when payments need to be made.
The timeline is the reference point for every individual that is involved with the event. At Bustle, we start drafting the timeline as soon as we are hired on and it is an ever evolving document as we design your event. When the timeline is finalized, it is a precise and exact resource for your events to run smoothly.
The timeline becomes part of the final design and production deck with all vendors contact information for easy access
We manage load in and load out of every vendor and every detail, down to the minute for the timeline to remain accurate
Each vendor receives a specified copy of the timeline, as it pertains to their specific duties, as well as a timeline for the event
Creation and implementation of a vendor production schedule, vendor contact sheet, VIPs timeline.
We account for time of year and weather, as well as any rain/weather plans when creating your timeline
We manage and include your VIPs timelines to run smoothly
We discuss preferences to custom build your event (i.e. cocktail hours, break out locations, needing to use the same space for two activities, etc.)
Invitee management for them to know when and where they are supposed to be
TIMELINE CREATION & MANAGEMENT
PROJECT MANAGEMENT
On average, Bustle’s team spends between 400-550 hours planning and designing each and every event with our Full Service Package. We will completely manage your event and keep you organized throughout the planning process by providing the following:
Venue search and selection
Creation and management of tasks and deadlines leading up to your event
Management of all vendor relations
Unlimited email and telephone correspondence, as well as in-person meetings with your elected team/team representative with your vendors
Schedule calls to go over the to-do list and answering any questions or concerns
Keeping an on-going, detailed master timeline with the company
Arranging all vendor day-of arrivals the week of the events, including confirmation of production schedules, contact info, directions and all information pertinent to vendors
Floor plan design to include placement of all tables, chairs, furniture, etc. for each area
Managing venue team and attending site visits prior to the event on your behalf to take measurements, photos and meet with venue staff/vendors. Vendors will often attend one of these meeting to ensure everyone is on the same page
Monthly action plan for the team
Attend in-person meetings prior to event, including site visits, food tastings, linen meetings, mock-up reviews, and rental companies
Event design and aesthetic collaboration
Transportation and lodging accommodation blocks
Full guest management including but not limited to: RSVPs, meal selection, etc.
DESIGN PROCESS
We know that every event is different and we celebrate the uniqueness. We take pride in our creative and personalized events; our designs are created just for you. This process includes, but is not limited to the following:
Detailed conversations about your interests, style, and preferences. We will assist with the event design process to create a cohesive look and match you with the right vendors to ensure it all ties together.
Custom design packet and design meeting
Selecting and presenting rental options that fit the overall vision and aesthetic of the event
Personal sketch or rendering of installations when needed to visually explain design ideas
Designing, sourcing, and/or creating all event day details such as place cards, signage, seating board, etc.
VENDOR MANAGEMENT
With our extensive vendor relationship all over the world, we pride ourself on connecting you to the best and brightest vendors in the industry to provide innovative and inspiring planning and design direction in any destination. All while ensuring all of the i’s are dotted and the t’s are crossed from a contract’s perspective.

Obtain bids and contracts from perspective vendors
Vendor proposal negotiation to ensure they fit within your event needs and budget and contract review
Our design packet and vision will be shared with the vendors who will be involved with the design aspect of the event
EVENT INSTALLATION & MANAGEMENT
On your event and production days, Bustle will manage and oversee every aspect of your event including the installation of event design and décor related items, timing of vendor arrivals, as well as any of your teams needs. We will ensure everything is set up the exact way discussed; we don’t put out fires, we prevent fires from starting. All linens will be pressed and each chair perfectly in its place.
Rest assured, every little detail will be handled by the Bustle team on the day of your event to ensure your dream event comes to life.
